Job Title: KPA & KPI Specialist
Location: Pretoria
Role Purpose:
The KPA & KPI Specialist is responsible for the development, implementation, standardisation, monitoring and continuous improvement of the organisation’s Key Performance Areas (KPAs) and Key Performance Indicators (KPIs). The role exists to ensure that all positions within the organisation have clearly defined, measurable objectives and business aligned performance expectations that enable effective performance management, accountability and achievement of strategic objectives. The successful candidate will be the organisation’s subject matter expert on performance measurement frameworks, ensuring that KPAs and KPIs are relevant, measurable, achievable and aligned with operational and strategic goals.
Requirements and Experience:
• Matric (Grade 12) – essential
• Relevant qualification in Business Management / Organisational Development / Performance Management (advantageous)
•Relevant certification in performance management, business analysis or balanced scorecards would be advantageous
• Minimum 3–5 years’ relevant KPA / KPI experience

• Proven experience developing KPAs and KPI’s across multiple job levels and departments.
•Experience implementing structured performance management systems.
Duties and Responsibilities:
1. KPA & KPI Development and Design
•Develop, review, and maintain KPAs and KPIs for all organisational roles.
• Translate job responsibilities and business objectives into measurable performance indicators.
• Ensure KPIs are aligned to organisational strategy, departmental objectives, and role requirements.
•Design performance measurement frameworks that clearly define expected outputs, quality standards, timelines, and
targets.
• Develop KPI libraries and standardised measurement criteria across departments.
•Review existing KPAs and KPIs to identify gaps, duplication, unclear expectations, or ineffective measurements.
2. Performance Measurement Framework Management
•Establish and maintain consistent KPI methodologies across the organisation.
•Define measurement criteria, rating scales, weighting structures, and scoring methodologies.
•Ensure KPIs are objective, fair, measurable, and free from ambiguity.
•Develop KPI templates, scorecards, dashboards and supporting documentation.
•Maintain version control and governance of all KPA and KPI documentation.
3. Job Role Alignment
• Analyse job profiles and organisational requirements to create relevant performance expectations.
•Partner with management to understand role outputs and translate these into measurable KPAs and KPIs.
• Ensure each role has clearly defined:
• Key deliverables
• Performance measures
• Targets
• Weightings
• Review criteria
• Success indicators
4. KPI Reviews and Continuous Improvement
•Conduct periodic reviews of KPAs and KPIs to ensure ongoing relevance.
•Identify opportunities to improve performance measurement processes.
• Recommend adjustments where KPIs are outdated, unrealistic, or not aligned with business requirements.
• Monitor trends and provide recommendations to improve KPI effectiveness.
5. Performance Reporting and Analysis
•Analyse KPI results and identify performance trends.
• Develop performance reports and KPI dashboards for management review.
• Provide insights into performance gaps and opportunities for improvement.
•Ensure accurate interpretation and application of KPI results.
6. Stakeholder Engagement
•Collaborate with executives, managers, and department heads to develop effective performance measures.
•Facilitate KPI alignment sessions with stakeholders.
• Provide guidance and expertise on KPI setting and measurement principles.
• Act as the internal specialist and advisor on all KPA and KPI-related matters.
Skills and Competencies:
• Advanced understanding of KPI methodologies and performance measurement principles.
• Strong analytical and reporting skills.
• Ability to develop measurable performance frameworks.
• Excellent documentation and process design abilities.
• Proficiency in Microsoft Excel and reporting tools.
